Job portals often ask for a single PDF: your CV, a cover letter and sometimes certificates. A messy file can cost you attention before anyone reads it. This guide shows how to prepare clean PDFs, join them in the right order and keep the size within the portal’s limit.
Step 1: Read the Requirements
- Check whether the form wants one file or separate files.
- Note the size limit next to the upload button.
- Check the accepted format. Most portals accept PDF.
Step 2: Make Your CV a PDF
If your CV is a Word file, the best way is usually “Save as PDF” in Word itself, because the text stays selectable. Some employers use systems that read the text of a CV, and a PDF made of page images cannot be read that way. PaperDesk Word to PDF creates pages as images, so use it only when Word is not available, and read our guide on converting Word to PDF without surprises.
Step 3: Turn Certificates Into PDFs
Photograph or scan each certificate flat, in good light. Then use Image to PDF. It accepts JPG and PNG, and each picture goes on its own A4 page. Our guide on combining scanned documents shows the steps.
Step 4: Join Everything in the Right Order
- Open Merge PDF.
- Add the cover letter first, then the CV, then the certificates.
- Check the order in the list. Files are joined from top to bottom.
- Click “Merge PDFs” and download paperdesk-merged.pdf.
Rename the file clearly, for example “Ayesha-Khan-CV.pdf”, instead of leaving the default name.
Step 5: Keep the Size Within the Limit
Scans make a PDF large quickly. If the file is above the limit, use Compress PDF. In my test, a practice PDF of 6,789.4 KB became 541 KB with the Recommended level. Read our guide on meeting an upload size limit before you start.
Final Checklist
- Scroll through every page and check the order.
- Zoom in on dates, names and stamps.
- Remove pages that are not needed.
- Keep the original files until the application is submitted.
